This will normally include name, address, age and contact details which includes email and telephone number. Your The Village Play Cafe user profile is personal data. We have ensured that the data we gather about the users of this site is kept to the absolute minimum.

Our site will never store your payment information - this is handled by our external payment processing company {InsertHereOnceFinal}

To enable a login, we must always be able to email or SMS a user a login code.

Users are able to tell choose what types of communications they wish to receive from us - they can opt in and out at any time using simply check boxes on their user profile once logged in.

Your consent will be, where possible, requested at the point you supply the data. We may request your data for a single specific use, such as a one-off event or marketing campaign, but will always refer back to this privacy policy.

The booking information outlined above is stored with a unique booking ID against our internal, unique event codes.

We retain the option to implement advertising and promotions in The Village Play Cafe. Some of the products/services offered may not be suitable for those under 18 years of age. As such we will implement routine age verification protocols in alignment with the associated advertised products/services.

Our system is hosted at Hostinger. The hosting is cloud based and we may be distributed over multiple, global data centres. Hostinger protects our databases using a combination of server-level security, automatic backups, and traffic monitoring to ensure data integrity and confidentiality. We will store your booking name, email address, mobile number and adult and child attendee details for 3+ years. When you purchase from our premises, although we will store the receipt details for our own accounting, we will not store any personal information relating to this transaction.

This is the legal ground for us to process your personal information if we have a genuine and legitimate reason for doing so. Legitimate interests do not harm your rights and interests as an individual.

In accordance with GDPR we can only send you communications that you have consented to. You can manage your preferences on what you would like to hear about on your membership record in your profile area on our website.

We will only contact you with relevant content, as defined by your preferences, about campaigns, events, news, member benefits, promotions and products. We do not pass your personal data to any company outside of The Village Play Cafe.

You can amend your preferences at any time and stop communications. Update your preferences by visiting [https://villageplaycafe.co.uk](villageplaycafe.co.uk), sign in, go to "My profile", edit the Contact Preferences check boxes.

We want you to get the most out of your relationship with us. If you are updating your details online, please allow up to 5 working days for all our internal systems to be updated. If you contact us via email or post, please allow for 10 working days from request to action.

Profiling

In order for us to provide the most relevant information to you we do profile our data to best suit the audience. We allow search engines to index our site and we use Google Analytics to collect aggregated data to enable us to optimise the user experience. All events that are indexed by search engines and any crawl descriptive text and user names will be visible outside of the The Village Play Cafe app. This includes events that are marked as “Private” - however please note that these events can only be opened and accessed only by users who have explicitly been granted access.

Who we share your data with

At present, your data is not shared with any 3rd parties. Although our home page and Events calendar are indexed by Google Analytics your data associated with your booking is not indexed by a search engine.

The Village Play Cafe Staff

The Village Play Cafe staff with the relevant permissions will be able to edit/delete data associated with a user profile; user master data; user attributes or to add/edit or remove a venue from a user profile.

How to Update Your Data and Marketing Preferences

You can update your personal data at any time. This includes the right to withdraw your consent to any of our marketing communications. If you are updating your details online, please allow up to 48 hours for all our internal systems to be updated. The database is protected through a combination of server-level security, automated backups, and access control mechanisms, ensuring data integrity and safety. Payment Card Security

The Village Play Cafe uses Tokenisation via our partners; at no point does your full card number touch our local servers.

The Village Play Cafe will not store your payment card details - these details will be stored by our dedicated and PCI approved payment processing partners at Zettle who will handle customer financial info. Our business banking is provided by Zempler.

Our online payment solutions are carried out using a ‘payment gateway’ which is a direct connection to a payment service provided by a bank. This means that when you input card data into the payment page, you are communicating directly with the bank and the bank passes your payment to us, this means that your payment card information is handled by the bank and not processed or held by us.
